Duplication & ERRORS!

Moving data from place to place withoout rekeying the data comes into play in many situations. The major reason not to do it at all is the time involved. A significant part of that time involves verifying the data.

The example of the Arcadian Chorale email list is a good one as the mail will get bounced back as undeliverable with any typographical error.

First a short commercial ... my wife, my daughter and I belong to the Arcadian Chorale based in Matwan NJ with rehersals every Tuesday evening from 7 to 10 P.M. The Chorale is directed by Marina Alexander.

Since many of the members have internet access and email we have a list of email addresses prepared.
A couple of us are Netscape Communicator Users.
This makes it easy to get updates into the program.

The email with the list is text (ASCII). To import the list into Netscape Communicator it needs to be in a comma separated variable (CSV) text file.

1 E-Mail in Text Editor > SDF Output
Any good text editor is used to convert the email text file into a Standard Data File (SDF).

a. Open a new text file in your folder of choice;
I suggest "Arcadian Email" for the folder.
I use YYYYMMDD.CSV as the file name.

b. Insert spaces as needed.
Line up all the information in columns.

2 Database > CSV
Most database programs import text files in a form known as a Standard Data File (SDF) and export a comma separated variable (CSV) text file.

You need the email
sent to the members.

Unless you are an Arcadian Chorale member you will not have the email sent only to the members on the list.

This process goes quickly* once you know it. The first time you do this give yourself 15 to 20 minutes.

* There seem to be many steps but the descriptions are just complete in the hope it will mean fewer questions and problems.

3 Netscape Communicator
Instructions to Import all the Arcadian Email Addresses directly into a new
Netscape Communicator "List" without any typing or cutting and pasting.

Open Netscape Communicator
Click on "Communicator"
Click on "Address Book"
Click on the "New List" icon

"Mailing List" Dialog opens.
It should already say "Add Mailing list to: Personal Address Book"
In the "Mailing List Info" section ...
List Name: Arcadian
Click on "OK" to close the dialog without adding any names.

Click on the + in front of the Personal Address Book to see the lists.
Click on the Arcadian entry.
Click on file
Click on import.

"Netscape Messenger Import Utility" dialog box opens ...
Select "Text file(address book)"
Click on text file at the bottom of the dialog box.

Click on "Next" "Import Address Book" dialog box opens ...
Import File: Browse to where ever you put the attached file ARCADIAN.CSV
Double click on the file.

File Format should already show as Comma Separated (CSV)
Match up the five entries given below under "Field Name" with the Netscape NETSCAPE "Communicator Fields"
Click on import.

Structure for database: C:\A\DB\FOXPRO2\ARCADIAN.DBF
